How we collect your data
We collect data through several channels, predominately through online forms on our website and through social media.
Why we use your information
We use collect and use information about you to support the running of the festival. This includes holding information about performers to keep them safe and ensure the correct consent for the taking of photos and filming the participants. We also may collect and use information about you which is ‘special’. Your special information is given more protection as it is very personal to you. In the case of Honeycomb Festival this information is physical or mental health, including allergies, illnesses, disabilities etc.
We also use information provided to award prizes to competition winners.
Information we hold
We hold a range of information to help us deliver the Honeycomb Festival annually. The majority of the information below is gathered via online forms and held securely in a password protected file with limited access. If you are concerned about giving us your personal information online, please contact us and we’ll arrange another way for you to provide this information.

How long we keep your information
We will only keep your information for the length of time detailed below. Data is stored using passwords and access to the databases is limited.
Group leaders:

Name and email address held for two years to inform you about future performance opportunities.
Participants:

Signed parental consent forms held for one year from date of the festival to show photo consent for publicity photos used for the following year’s festival.

Sensitive information e.g. allergies, illnesses, disabilities kept for duration of the festival then destroyed.
Digital clip purchases:

Details retained until 6 months after date of digital clip dispatch to assist with any queries from purchasers.
Social media:

Details retained until after each festival then deleted.
Data sharing
We do not share details with third parties and we do not have access to data held by our partners (e.g. details obtained through buying tickets at the Waterside Theatre). On the rare occasion we may need to share data, this will be clearly specified before consent is given by the individual.
Your rights and how you can control your information
The law gives you rights about the information we hold about you and how we use it. Where we are holding or using your information because you have given us your permission, you can take away your permission at any time.
No matter how or why we are using your information you also have the right to:

Ask for a copy of the information that we hold about you

Ask that any incorrect or incomplete information about you is corrected. Where this cannot be done because we need to keep a record of why we made a decision or for some other reason we will make sure we keep the new details you have provided and use them in the future.

Ask for your information to be deleted or destroyed where there is no good reason to continue using it and provided that there are no proper or legal grounds for retaining it

This Notice will be reviewed and updated on an annual basis. It may also be updated when we change our services.
